Berndt Climate Control LLC is committed to providing high-quality HVAC services and ensuring customer satisfaction. This Refund and Cancellation Policy explains our policies regarding refunds, credits, and cancellations for services provided by Berndt Climate Control LLC. By engaging our services, you agree to the terms of this policy.
A diagnostic service call fee is charged for all repair service visits. This fee covers the cost of dispatching a technician to your property, performing a diagnostic assessment of your HVAC system, and providing a written estimate for any recommended repairs.
Diagnostic fees are non-refundable once a technician has been dispatched to your property and has performed a diagnostic assessment, regardless of whether you choose to proceed with the recommended repairs. If you choose to proceed with repairs at the time of the service call, the diagnostic fee may be applied toward the total cost of repairs at our discretion.
Emergency service call fees include a premium for after-hours, weekend, or holiday response. Emergency service call fees are non-refundable once a technician has been dispatched.
All repair and installation work performed by Berndt Climate Control LLC is backed by a one (1) year labor warranty. If a defect in our workmanship causes a failure within the warranty period, we will return to correct the issue at no additional charge for labor. This is not a refund but rather a warranty service commitment.
To request warranty service, contact us at (608) 556-0324 or sarahberndt@climcontrollc.com. Please have your original service invoice available. We will schedule a warranty service visit at the earliest available appointment. Warranty service calls are prioritized based on severity and safety.
Warranty service does not apply to failures caused by: customer misuse or neglect, unauthorized modifications to the system, failure to perform recommended maintenance, acts of nature, power surges, or pre-existing conditions unrelated to our work.
Parts and equipment installed by Berndt Climate Control LLC are covered by the manufacturer's warranty. If an installed part fails within the manufacturer's warranty period, we will replace the part under warranty at no charge for the part. Labor charges for warranty part replacement may apply after the first year of our labor warranty.
Parts ordered specifically for your repair that are not installed (for example, if you decide not to proceed with a repair after parts have been ordered) may be subject to a restocking fee of 15-25% of the part cost, depending on the supplier's return policy. Special-order parts may not be returnable.
Equipment returns: New HVAC equipment (furnaces, air conditioners, heat pumps, etc.) that has been installed may not be returned once installation is complete. If equipment is defective upon installation, we will work with the manufacturer to arrange a warranty replacement. Uninstalled equipment may be returned within 30 days of purchase in original condition, subject to a restocking fee.
Deposits paid for new system installations are refundable if you cancel your installation order more than 72 hours before the scheduled installation date. Cancellations within 72 hours of the scheduled installation date may result in forfeiture of the deposit to cover costs already incurred, including equipment ordering, scheduling, and preparation.
If a new system installation is cancelled after equipment has been delivered to your property, you will be responsible for the cost of the equipment plus any applicable restocking fees. We will work with you to minimize costs in the event of a cancellation.
If you are dissatisfied with a new system installation, please contact us within 30 days of installation. We will work to resolve any issues related to our workmanship. Issues related to equipment performance that are within manufacturer specifications are not grounds for a refund but may be addressed through equipment warranty claims.
Annual maintenance agreements may be cancelled at any time. Refunds for cancelled maintenance agreements are calculated on a pro-rated basis based on the number of scheduled maintenance visits that have been completed versus the total number included in the agreement.
For example, if you have a two-visit annual maintenance agreement (spring AC tune-up and fall furnace tune-up) and cancel after one visit has been completed, you will receive a refund of approximately 50% of the annual agreement fee, less any administrative fees. No refund is provided if both visits have been completed.
To cancel a maintenance agreement, contact us in writing at sarahberndt@climcontrollc.com or by mail at 7462 Rolling Meadow Rd, Verona, WI 53593. Refunds for cancelled maintenance agreements will be processed within 14 business days.
Emergency service calls are subject to after-hours, weekend, and holiday premium rates. These premium rates are disclosed when you call for emergency service and before a technician is dispatched. Emergency service fees are non-refundable once a technician has been dispatched, regardless of whether the problem can be resolved during the visit.
Maintenance agreement customers are not subject to emergency service premium rates as a benefit of their agreement.
If you believe you have been overcharged or that a billing error has occurred, please contact us within 60 days of the invoice date. We will review your account and correct any verified billing errors promptly. Verified overpayments will be refunded within 14 business days by the original payment method or by check.
To request a refund or to dispute a charge, please follow these steps:
Approved refunds will be issued by the original payment method when possible. Credit card refunds will be returned to the original card. Cash payments will be refunded by check. Check payments will be refunded by check. Refund processing times may vary depending on your financial institution.

Wisconsin consumers have rights under the Wisconsin Consumer Act and other applicable state laws. Nothing in this Refund Policy is intended to limit or waive any rights you may have under applicable Wisconsin consumer protection laws. If you believe your consumer rights have been violated, you may contact the Wisconsin Department of Agriculture, Trade and Consumer Protection at (800) 422-7128.
We are committed to resolving customer concerns fairly and promptly.
